How to Get an Image Under 2 MB (or 1 MB, or 500 KB)

A reliable order of operations for hitting a hard upload limit on a form, application or portal without turning your photo to mush.

Why forms impose a size limit

Upload limits on job applications, visa portals, university submissions and government forms exist to protect the receiving system, not to judge your photograph. The number is arbitrary and absolute: 2.1 MB fails against a 2 MB limit just as surely as 20 MB does. Which means your goal is not the smallest possible file, but a comfortable margin under the threshold.

Step one: cut the dimensions, not the quality

A modern phone photo is often 4000 pixels or more across. Almost no form needs that. File size scales with the number of pixels, so halving both the width and the height leaves roughly a quarter of the pixels — and typically something in the region of a quarter to a third of the file size, before you touch compression at all.

As a rule of thumb: 1000 to 1500 pixels on the long edge is plenty for a document that will be read on screen, and 600 to 800 pixels is plenty for a profile photo.

Step two: compress what is left

Once the dimensions are sensible, compress. Start moderately rather than at the lowest setting; you will often find you are already under the limit. If you are still over, take another step down rather than jumping straight to the bottom of the scale.

Step three: check the format

If your file is a PNG and it contains a photograph or a scan, it is in the wrong format and that alone may be the whole problem. Converting it to JPG frequently cuts the size by a large factor with no visible difference.

Keep PNG only when you need transparency or when the image is a screenshot, a diagram or anything with crisp text and flat colour, where JPEG artefacts would be visible around the edges.

Scanned documents deserve their own advice

Scanners often default to 600 dpi, full colour and PNG or TIFF output, which produces enormous files for a page of black text. Scanning or exporting at 200 to 300 dpi, in greyscale where colour is not needed, generally produces a perfectly legible document at a small fraction of the size. If your scan is already made, resize it to about 2000 pixels on the long edge and save as JPG.

Aim below the limit, then verify

Target roughly 10 percent under the stated maximum. Different systems count megabytes slightly differently, and some add overhead when the file is wrapped for upload, so a file at 1.99 MB against a 2 MB limit is an unnecessary gamble. Check the actual size of the downloaded file in your file manager rather than trusting an on-screen estimate.

Frequently asked questions

Should I resize first or compress first?

Resize first. Compression works on whatever pixels you give it, so compressing a needlessly large image just means compressing more pixels harder. Getting the dimensions right first lets you use a gentler quality setting and end up with a better-looking result.

Why is my phone photo 6 MB when it looks the same as a 300 KB one?

Phone cameras capture far more pixels than any screen displays, and they save at high quality by default so you can crop and edit later. All of that detail is invisible once the image is shown at typical size, but it is still in the file.

The form rejects my file even though it is under the limit. Why?

Check the accepted file types and any dimension rules; some portals require JPG specifically, or a minimum or maximum pixel size, or a particular aspect ratio for photographs. The error message often reports only the size problem even when the real cause is something else.

Can I get under the limit without losing any quality at all?

Only if the image is stored inefficiently to begin with — for example a photograph saved as PNG. Once the file is a well-encoded JPEG at sensible dimensions, any further reduction costs some quality, and reducing dimensions is usually the least visible way to pay it.
